SPONSOR PAVILION INFORMATION
The Sponsor Pavilion is set up so guests have the opportunity to visit your booth and learn more about your products and services. We will provide bags for attendees to pick up collateral and sales gift items as they stroll by and meet with you. We also provide them with a Passport for Prizes booklet to have stamped by sponsors during the Sponsor Pavilion in order to be eligible to win some great prizes from each of the sponsors at the end of the Awards.
Reminder of Logistics for the Event:
- Sponsor Pavilion set up time is on Wednesday, November 16th, 4:00pm – 6:15pm. All sponsors should be set up and ready to go by 6:15pm. The Pavilion Dinner begins at 6:30pm and will end at 8:00pm. Your table assignment in the pavilion will be labeled before your arrival. The hotel will provide in the exhibit space a 6’x30” skirted table with 2 chairs for you. Any other exhibit equipment is the exhibitor’s responsibility to secure and ship. The hotel does not have an exhibit department, or any exhibit equipment such as pipe, drape, and booths. Please note that the hotel is equipped to store and move boxes and small exhibit items that fit on top of the 6’x30” table, or in the space immediately behind it.
- Location of event will be in the Foyer of the Edison Ballrooms - located on the 2nd floor of the hotel.
- Tracking Numbers: If T.E.N. was sent tracking numbers by your company ahead of time, we will provide those to the hotel so they can pull your boxes and place at your booth before your arrival.
- Credit Card Authorization Form: REQUIRED BY ALL SPONSORS WHO SHIP ANYTHING TO THE HOTEL. Once you complete your exhibit services order form noting your shipping and any electrical or AV order the hotel will contact you with an eCredit request form.
- Electrical & AV Needs: The hotel’s engineering services department can arrange for all your electrical and AV needs. An exhibitor table power drop is $45 (one time fee). You are responsible for any costs associated with these requests. Please reference the exhibitor services order form.
- Wednesday night breakdown of sponsor tables: The sponsor pavilion dinner will end at 8:00pm and guests will be seated in Edison DEFG Ballroom for the Awards Gala. We encourage you to attend the Awards Gala and afterwards the Afterglow Champagne and Desserts Reception. You can leave your table setup until after the Dessert reception and then pack up, but must be all packed by 11pm. Please DO NOT leave any valuables at your sponsor tables when you leave. If you need any assistance with your boxes after packing up - the hotel banquet staff will be able to assist.
- Inbound Shipping: Please use this shipping label for all your packages. The hotel has very limited storage space, so we ask that materials be shipped to arrive 3 business days prior to the official start date of your conference. Packages received prior to 3 days will be assessed a storage fee of $5.00 per box. Pricing is broken down as follows: 0-5lbs = $5/per box, 6-20lbs = $10/per box, 21-50lbs = $15/per box, Over 50lbs = $25/per box.
- Outbound Shipping: Please pack all boxes and attach all outbound shipping labels before leaving the event. Banquet staff will pick up packages and have them transferred to the shipping dock for a Thursday morning departure. If you need any assistance with forms please visit the business center located on the second floor. There is a $5 per box handling fee for all outbound items.
Ad Specifications
A benefit of your sponsorship is inclusion of an ad in the Awards Program book given out at the Awards Gala. We must receive your ad by October 5, 2011. Display sponsorship does not include ad space, but does include a company logo and description.

Judges Luncheon
If you are a Gigabyte or Megabyte sponsor you may have an executive representative attend and observe the Judges luncheon on October 5, 2011 in Washington DC from 11:30am-2:00pm. Please the name of the person who will be attending the judges luncheon on your behalf.
